How we collect, use, and look after your personal information

This policy explains what personal information ConkerAI collects when you visit our website or get in touch, how we use it, and the rights you have over it. We have written it in plain English rather than legal jargon. If anything is unclear, please ask.
Who we are
ConkerAI is an AI training and advisory consultancy for UK businesses. Our website is www.conkerai.co.uk.
ConkerAI is a trading name of Turro Limited, which is the company responsible for your personal information (in legal terms, the 'data controller'):

What information we collect
When you fill in a form on our website or send us an email, we collect the information you choose to give us. In most cases this is your name and email address. Sometimes you might also give us your phone number, your company name, or a few details about what you are looking for. We only hold what you send us.
If you join our mailing list, we keep your name and email address so we can send you the updates you have asked for.
Like most websites, ours may also collect some basic technical information through cookies, such as which pages you visit. There is more on cookies further down.
How we use your information
We use your information to:
- reply to your enquiry and talk to you about how we might help
- provide the training or advisory work you have asked for
- send you updates or marketing, but only if you have asked us to
- keep our own records and meet our legal and accounting duties
We do not sell your information to anyone, and we never will.
Our lawful bases for using your information
UK data protection law says we need a lawful basis for using your information. Ours are:
- Legitimate interests: when you contact us, we use your details to reply and follow up, because it is in both our interests to do so
- Contract: when you become a client, we use your information to carry out the work we have agreed
- Consent: when we send you marketing, we do so because you have agreed to receive it, and you can change your mind at any time
- Legal duty: we keep certain records to meet tax, accounting, and other legal obligations
Who we share your information with
We keep your information to ourselves as far as we can. To run our business, we use a small number of trusted suppliers, and your information may pass through their systems. The main ones are:
- Microsoft 365: for our email, files, and day to day work
- HubSpot: the system we use to manage contacts and enquiries
- Xero: our accounting software, where it is relevant to invoicing
These suppliers only handle your information to provide their service to us. They are bound by their own data protection obligations, and we do not allow them to use your information for their own purposes.
We use AI tools as part of our day to day work, including for training and content. We do not put your personal information into public AI chatbots such as ChatGPT, Claude, Gemini, or Grok. Any AI features built into the business systems we already use, such as Microsoft 365, are covered by those providers' own data protection terms.
We may also share your information if the law requires it, for example with HMRC or another authority.
Sending information outside the UK
Some of our suppliers, including Microsoft and HubSpot, are based in the United States or may store information there. When your information is handled outside the UK, we make sure it is protected by the safeguards UK data protection law requires, such as approved contract terms or an adequacy decision.
How long we keep your information
We keep your information only as long as we need it. If you make an enquiry but do not become a client, we usually keep your details for up to two years in case you come back to us, then delete them. If you become a client, we keep your records for longer to meet our contractual and legal duties, normally six years after our last work together, in line with accounting rules. If you are on our mailing list, we keep your details until you ask to come off it.
Your rights
You have rights over your personal information. You can:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong
- ask us to delete your information
- ask us to stop or limit how we use it
- object to us using it
- ask us to move it to another provider
- withdraw your consent to marketing at any time

How to complain
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk.
Cookies
Our website may use cookies, which are small files that help the site work and let us see how it is being used. You can turn cookies off in your browser settings if you prefer. If we ever add anything beyond basic cookies, we will ask for your agreement first.
Changes to this policy
We may update this policy from time to time. When we do, we will change the date at the top and post the new version on our website.
